Safetyzone Health and Safety Services were appointed to work with the Quality Manager. Their existing management system was reviewed, a plan was prepared and discussed with key people who were identified as best placed to help implement the plan. A new health and safety policy was written, approved, and signed by the MD and briefed to staff. Risk assessments were done in all areas of risk incorporating applicable legislation and consulting the workforce at risk. Adequate safety measures were implemented, and safe systems of work were written where required.
This phase was followed by staff briefing and the provision of information, instruction and training. The final stage was to establish inspections and audits to check if the safety measures were working and feed the results back into the plan for action. Full documentation was provided. A site safety committee was established with quarterly meetings attended by key people representing all levels of staff in the company. Once this stage was reached the consultancy visits became one day per month to help maintain the system and compliance with legislation.
During the process, the company needed to gain approval to OHSAS 18001, the health and safety management standard, along with ISO 14001 the environmental management standard in order to meet customer demands for these approvals. The approvals were achieved and are still in place but now as ISO 45001 the integrated management system incorporating ISO 9001 the quality standard.

It was not economical for them to directly employ a safety advisor and engaged Safetyzone Health and Safety Services. A plan was prepared including policy writing, risk assessments, safe systems of work, inspections and audits. Staff were briefed on the results of the risk assessments with the necessary information, instruction and training provided. Monthly visits maintain the inspections and audits with findings fed back into the plan for action. Full documentation is provided.
Timber processing
A timber processing company providing kiln dried logs and kindling needed to establish a Health and Safety Management system. They had only a basic policy and risk assessments did not cover all their regulatory obligations.

A plan was prepared including review of the policy, risk assessments, safe systems of work, inspections, audits, information, instruction and training. This was done by monthly visits until it was established. The visits moved to an annual audit and review of the system. The company owner manages the system through the year with telephone and email support as required. Full documentation is provided.
Your legal position as an employer
It is implicit in The Health and Safety at Work Act 1974 that workplace health and safety must be managed in the same way as any other business function e.g. Finance, Quality, Personnel etc.
It is also implicit that, since Managers understand the daily operation of their business, they are best placed to manage health and safety. Employers have a legal duty under the Management of Health and Safety Regulations 1999 to put in place arrangements to control health and safety risks.
If you employ more than 5 people you must write down your risk assessments and health and safety policy.
However, if you are in a business with significant risks it would be sensible for a business of any size to document their risk assessments and health and safety policy and keep them up to date in case of an investigation by an enforcement agency or civil action for damages.

The SafetyZone route to legal compliance
With the SafetyZone Plan-Do-Check-Act process, I can provide your business with a simplified route to legal compliance and a safer workplace for your employees.
The Plan-Do-Check-Act process is recommended by the HSE in their HSG65 publication “Managing for Health and Safety”.
It is a simple cycle of planning and action to establish legal compliance that can be tailored to suit your business. Health and Safety should be part of the everyday process of running an organisation and an integral part of workplace behaviours and attitudes.
Note: Policies, procedures, risk assessments etc. must be documented if you employ 5 or more people.

“We have used John Harrison for the past 12 years, and have found him to be diligent, and thorough in the work that has been carried out. He re-designed our health and safety system to meet the requirements of OHSAS 18001 to which we are now approved and has then carried out the reviews, audits, and updates that have been required along with exposure measurements such as noise, airborne contamination and EMF. John’s professional approach and communication skills were welcomed by both myself and the workforce and I would be happy to recommend him to other companies.”
